Maggie's Tax Service ("we," "us") prepares tax returns, which means you hand us some of the most sensitive information you have. This page explains what we collect, what we do with it, and what we will never do with it.
Information we collect
To prepare a return we collect the information the return requires, which typically includes:
- Names, addresses, dates of birth, and Social Security numbers or ITINs for you, your spouse, and your dependents
- Government identification, including passports for ITIN applications
- Income documents such as W-2s, 1099s, Social Security and retirement statements
- Self-employment income and expense records, mileage logs, and home office details
- Bank account and routing numbers, where you want a refund deposited directly
- Prior-year returns and any IRS or state correspondence you share with us
We also collect basic contact details when you call, email, book an appointment, or upload documents to our secure portal.
How we use it
We use your information to prepare, review, and file your tax returns, to answer your questions, to schedule and confirm appointments, and to meet our own legal and recordkeeping obligations as a paid preparer.
We do not sell your information. We never have and we will not. We do not rent it, trade it, or hand it to marketers.
Federal limits on disclosure — IRC § 7216
Federal law places specific limits on what a tax preparer may do with tax return information. Under Internal Revenue Code section 7216 and its regulations, we may not disclose or use your tax return information for any purpose other than preparing your return unless you give us written consent in advance, on a separate document, for that specific purpose.
If a situation ever comes up where a disclosure would be useful to you — a bank product, a lender who needs a copy of your return, a referral to another professional — we will explain it and ask you to sign a separate consent form. This privacy policy is not that consent, and nothing on this website is. You are always free to say no, and saying no does not change the service you receive from us.
When we may share information
We share your information only in these circumstances:
- With taxing authorities — the IRS and state agencies, to file your return, which is the whole point
- With your signed consent — as described above, for the specific purpose you agreed to
- With service providers who help us operate — our tax preparation software and our appointment scheduling system, each of which is bound to protect the information they handle for us
- When the law requires it — a valid subpoena, court order, or lawful demand
Refund advances
Refund advance products are provided through a third-party bank, not by us. If you choose to apply for one, information from your return has to go to that bank in order to process the application. We will tell you which bank, explain what gets shared, and ask you to sign a separate consent before anything is sent. If you would rather not, you can file without an advance.
How we protect it
We maintain a written information security program as required of paid preparers, and we apply physical, electronic, and procedural safeguards to the information in our care. Documents you send through our secure upload portal are transmitted over an encrypted connection. Access is limited to the people on our team who need it to do your return.
Please don't email us Social Security numbers, bank details, or images of identity documents. Ordinary email is not secure. Use the secure upload portal or bring documents to the office instead.
No system is perfect, and we won't claim ours is. If we ever have a security incident affecting your information, we will notify you as required by Idaho law and federal rules.
How long we keep it
We retain returns and supporting records for the period required of paid preparers and for as long as we may need them to answer questions about a return we filed for you. After that, paper records are shredded and electronic records are deleted.
This website
This website does not use advertising trackers, and we do not run analytics that profile you across other sites. Two things on the page load from outside our server: a map panel showing our office location, served by OpenStreetMap, and web fonts served by Google Fonts. Loading those means your browser contacts those providers, and they may log the request under their own privacy policies. Nothing about your tax information is involved.
Booking an appointment sends you to Square's scheduling system, and uploading documents sends you to our secure portal. Both are separate systems with their own terms.
Your choices
You can ask us what information we hold about you, ask for a copy of a return we prepared, correct information that's wrong, or withdraw a consent you previously gave. Call the office and ask — we don't make this complicated.
Children
We collect information about dependent children only as part of preparing a parent's or guardian's return, provided to us by that adult. This site is not directed to children.
Changes to this policy
If we change this policy we'll update the date at the top of this page. Material changes to how we handle tax return information will also be explained to you directly.
Questions
Call, email, or come by. We'd rather answer than have you wonder.
